Lead capture chatbot: collects contacts, never nags, brings the lead to you

A lead capture chatbot is for businesses whose inquiries get lost between the site, messengers and phone calls. It collects a contact and the gist of the request in a conversation, not in a long form, and hands a card to the person who makes the decision. Below: what exactly the bot collects, where it sends it, and which rules keep a lead capture chatbot from turning into an intrusive mailer.

What a lead capture chatbot collects

A lead card consists of a name, the item or topic of the request, a city and a phone number. The bot builds it in the dialog by asking ordinary questions, and the card is the same for every channel: it does not matter whether a person wrote in Telegram or in the window on the site. When the card is filled, the lead is ready for handover.

For selling scenarios the funnel is simple: first the bot finds out the need, then names a price from the database, and only then passes a hot lead to the owner. If a price exists in the database, the bot does not invent one.

Where a lead from the chatbot goes

The owner receives a card in Telegram. It can be set to arrive for every new dialog and, if the mode is on, for every client reply. The owner's reply to the card goes to the client on behalf of the bot, so it is convenient to run the conversation from a familiar messenger.

A request from a site form also goes to the owner in Telegram, and the handler confirms receipt only after a successful send. Over the last day we have no undelivered requests, and a test request reached its recipient. If a CRM is connected, a deal or a client record is created from the dialog; how that is wired is described on the page about chatbot integrations.

Soft follow-up: the rules the bot keeps

A lead capture chatbot never writes first: Telegram does not allow it until a person has pressed Start. After that our follow-up rules apply. Write no more than once a day, and better once every two or three days. Do not write at night: quiet hours are 22:00 to 10:00. The /stop command always works. If a person blocks the bot, mailing to them stops by itself. The follow-up chain is finite, three to five steps, not an endless stream of messages.

Lead magnet and source tags

The classic scheme of a lead capture chatbot for experts and shops: a person gets a file, for example a PDF, in exchange for a contact. The bot hands out the file through a link with a source tag, a notification goes to the owner, and a soft chain leads on to the next step. The tag in the bot link shows where the person came from, so traffic sources can be compared without separate spreadsheets.

The ready server scheme for such a bot is sold as a Telegram bot starter kit for $49, available in the shop.

Digests for the owner

A lead capture chatbot reports on itself. In the evening the owner receives a digest: how many inquiries there were, how many conversations, where the bot coped by itself and where it called a human. There is also a review for the day, week and month, and a digest across all bots for a chosen number of hours. These figures exist not for pretty reports but to refine bot scenarios where the bot stumbles most often.

What we do not promise

Client bots on our platform handle small flows so far, so we do not name conversion, growth in requests or payback figures, and will not until they can be confirmed on your data. We suggest building the lead capture chatbot, measuring the result on your traffic, and only then judging the effect.

If a client asks about price, a date, a meeting or payment, the "no promises" mode and handoff to an operator takes over. Booking a time and choosing a place are covered on the page about the booking chatbot.

FAQ

Where will a request arrive?

In the owner's Telegram as a card with contacts and the dialog history. In a CRM, if one is connected. A request from a site form also arrives in Telegram.

Will a lead capture chatbot pester people?

No: it never writes first, at most once a day, never at night, it stops when blocked or on /stop, and the message chain is finite.

What will the bot say if a client asks for a price or a deadline?

It names a price from the database and does not use the words "in stock" or "lead time". In "no promises" mode, questions about price, date, meeting and payment go to the owner as a card.
